How to quickly determine the size of your mailbox

Although Exchange Server 2007 and Exchange Server 2010 support large mailbox sizes (and Microsoft has a couple of white papers about the subject), mailbox usage is still a reality that users have to live with.

If you want to quickly determine the size occupied by your mailbox, Outlook 2007 and 2010 provide the necessary means to do it:

  1. Open Microsoft Outlook
  2. Right click the top level folder of your mailbox (the one that says "Mailbox – " or has your e-mail address) and select:
    – Properties for ""Mailbox – "  in Outlook 2007
    – Data File Properties in Outlook 2010
  3. Click Folder Size
  4. You'll see 2 tabs: one that says Local Data and another one that says Server Data. Selecting each of these tabs will provide you the details of the storage occupied by your mailbox. Note that the values may be different, since the offline or cached data (Local Data) is not always sync'ed with the Exchange Server.
